The problem

In the client's words: "Everything is carried in manually. The system doesn't update itself." The CRM sat next to the store as a silo, reps called before packages arrived, and leadership's numbers were, by their own estimate, a third of reality.

What we built

An engine of roughly 29 workflows for a direct-to-consumer brand. Orders and subscription changes create or update the person and deal, delivery confirmation queues the call, refunds and tracking land as notes, affiliate revenue rolls up monthly, and derived properties push to Klaviyo so segments come from CRM truth.

Where AI does the work

No AI in this build. Here's why that was right: every input is already structured and the rules are known. A webhook does this job exactly.

Where rules do the work

Webhook triggers, idempotent upserts keyed on store IDs, an allowlist for tag-to-label sync, nightly sweeps that report drift between store and CRM, and a log for every write.

Outcome

About 29 workflows running 150 to 190 times a day with zero-error nightly sweeps. A technical count, not a revenue claim.
